Manage payments and refunds
Offer monthly payments, help students with unpaid invoices and cancel a purchase when needed.
Set up the paid offer first using Selling courses. Use this guide to add monthly choices, check a purchase or help a student with payment trouble.
Offer monthly payments
Open the paid group's price settings. Under Monthly choices, choose Add monthly option, enter the monthly amount in euros and the number of payments, then check the total before saving.
A plan needs 2–60 monthly payments of at least €0.50 each. The total is the monthly amount multiplied by the count; check it against the full-payment offer. Course defaults can supply monthly choices to new offers. Existing offers keep their saved terms.
Open the public course page and check the choices a buyer sees. Editing an option changes future purchases. Retire removes an option for new buyers; open checkouts and existing plans keep their agreed terms.
Check a student's purchase
Open Students, choose the student and find Purchases. Check the course, purchase date, agreed total, collected amount and any refunds. The agreed total includes future instalments; it is not the amount collected so far.
Both owners and managers can view purchases. Only an owner can cancel and refund them.
Help with an unpaid invoice
Ask the student to open their account Settings and find their invoices and payment plan. Manage card and invoices opens the plan's payment portal. They should choose the card for that plan; changing a general default card may not change it.
An overdue payment can show a grace-period end date. If it remains unpaid, access from that purchase may pause. The student must pay all overdue invoices to clear that payment pause. Other access limits, such as the course access end date, still apply. Separate free access is not removed by a payment pause on a purchase.
Cancel and refund a purchase
As an owner, open the purchase and choose Cancel and refund. Before confirming, check the course and amount: the action removes access supplied by this purchase, stops future charges and requests the remaining refund. Other access, saved work and earned certificates remain.
After confirming, check Cancellation and Refund separately. Stopping future charges can finish before the refund does. Earlier refunds and refunds already pending are not sent again.
If the request fails, check its current state and use Retry cancellation and refund when offered. If Taskpipe says to return money another way, contact the student about only the failed refunds. Pending refunds are still being processed; do not send those amounts again.
Adding free access to a student does not settle an invoice. Check the purchase first when a student reports a payment without course access.
