Terms and privacy

Publish documents and choose the terms students accept.

Students must be able to read the terms that apply when they join a course. Write the documents in Legal documents, publish a version, then choose which one a course or group uses. A saved draft is not the published text shown to students.

Apply terms to a course

Open the course and choose its Default terms. New groups can use that choice. If a group needs different terms, choose them on the group before sharing its sales page. The enrolment flow shows the terms that apply and records a student's acceptance.

Document fields and releases

A release is a published version of a document. It preserves the text that was in the last saved draft at publication.

Field or stateMeaning
KeyIdentifier used to find the document.
FamilyTerms and conditions, student terms, privacy policy or data processing agreement.
LocaleLanguage of the document.
DraftText written in Markdown before publication.
ReleasePublished text that cannot be edited.

In Legal documents, create a document, choose its family and language, then write or upload the text. Wait for Saved before Publish. Check Release history for earlier versions and their effective dates. If another person has saved a newer draft, review it before you replace what is in the editor.

A course can choose student terms and a privacy policy for its groups to use. A group can keep those choices or select its own. Check what the group uses before sharing its sales page. Publishing a newer release does not change a student's record of accepting an earlier one.

Marketing choices

A student can choose whether to receive marketing messages in the public enrolment flow. An outside form can pass that choice and the details of when and where it was made through the API. Send only the choice the person made. Publishing documents or saving consent does not by itself meet every legal duty.

Changes after publication

Before publishing another version, check which version your current students accepted and whether they need to see the new one. The earlier acceptance record stays as it was. Ask your legal adviser which text and choices your school needs.
